Job Title: Appointment Scheduler/Operator

Reports To: Scheduling Supervisor  – LeeAnn Bernal
Work Site: Riverside Office
Work Schedule: Monday through Friday

Summary of Position Description:

  • Schedule patient appointments according to pre-established guidelines
  • Transfer calls to appropriate departments or personal
  • Confirm patient appointments two days in advance (when needed by reception)
  • Work compatibly with other departments and employees of WSNM
  • Cover Main Operator as necessary
  • Provide excellent communication and customer service
  • Engage in positive patient interactions
  • Become proficient in practice management computer system and telephone/voice mail system
  • Schedule return appointments as needed
  • Attain adequate computer skills in the practice management computer system
  • Distribute incoming mail and packages
  • Mail out recall cards
  • Sort and scan patient “Release of Information” forms
  • Employee may be assigned additional duties as necessary or desirable by management.

Job Qualifications:

  • High school degree or GED
  • Minimum of one year experience with multiple phone lines preferred
  • Knowledge of computer systems and telephone/voice mail system preferred
  • Strong customer service and communication skills

  • Hearing, speaking and visual acuity
  • Sitting, stooping or standing for long periods of time
  •  Ability to lift at least 20 lbs.
  • Hand/wrist movement to write, use computer, phone and copier

Job Title: Triage Nurse

Summary of Position Description:

Responsible for evaluating and communicating, primarily by phone, patient needs with the use of protocols as available ensuring appropriate level of care.

  • Return phone calls in a timely manner
  • Administer injectables and provide educational material during nurse visit
  • Good communication with providers regarding patient’s care
  • Clear concise charting on each interaction with a patient
  • Excellent understanding of lab and procedure results
  • Attain adequate computer skills in the practice management computer system
  • See walk-in patients
  • Staple removal/wound care
  • Administer IV hydration
  • Schedule appointments
  • Work compatibly with other departments and employees of WSNM
  • Any other assigned duties as necessary or desirable by management

Job Qualifications:

  • RN or LPN, preferably with OB/GYN experience
  • Excellent organizational, communication and customer service skills

Physical Requirements:

  • Hearing, speaking and visual acuity;
  • Must have the ability to lift at least 20 pounds ;
  • Ability to walk, bend, stoop, reach overhead, stand for long periods of time;

Job Title: Senior Scheduling Coordinator

Summary of Position Description:

Responsible for scheduling provider appointments for all WSNM locations; assists Scheduling Supervisor; acts as primary scheduler for Gyn/SIS ultrasounds/appointment scheduler.

Primary Duties Include:

  • Manage patient portal tasks
  • Manage WSNM info email
  • Assist in maintaining computerized provider templates and office meetings
  • Schedule patient appointments according to guidelines
  • Participate, supports and advocates scheduling issues
  • Assist in maintaining the Shortel Telephone System
  • Maintain Greenway tasks from Providers inner office
  • Assist Scheduling Supervisor with call-ins and coverage in supervisor’s absence
  • Maintain monthly office/call schedule
  • Maintain daily openings report
  • Maintain weekly numbers report
  • Work compatibly with all other departments and employees of WSNM
  • Any other assigned duties as necessary or desirable by management

Job Qualifications:

  • High school degree or GED;
  • Minimum of at least three years of progressive responsibilities in a medical office
  • Strong customer service and communication skills
  • Experience with computerized patient scheduling, provider templates and scheduling of nursing personnel desirable
